Description:
We are seeking a highly qualified and experienced Admin Assistant to join our dynamic real estate team. The ideal candidate will possess administrative expertise and in-depth real estate industry knowledge. A strong ability to take charge and meet tight deadlines will ensure your success in this multi-faceted role.
Responsibilities:
- Handle and coordinate active calendars
- Schedule and confirm meetings
- Ensure file organization based on office protocol
- Provide ad hoc support around office as needed
- Handle the CRM for managing client information, tracking leads, and facilitating client communication
- Using online property portals such as Property Finder, Dubizzle, and Bayut and Bayut Profolio, Property Manager to manage the property listings
- Preparing best quality property listings, verifications of the listings, and obtaining listing permits
- Keeping the listing updated and proactive to maximize the exposure of the listings on the portals
- Competence in preparing and managing real estate documentation, including MOUs, Tenancy Contracts, and Forms A, B, I, F, and U, payment/ cheques receipts, Tax invoice
- Support in transaction closing and day-to-day office needs (e.g., office supplies, petty cash, and inventory)
- Maintenance of both paper and digital filing systems
- Manage registration with all developers, renewals, and materials gathering.
- Handle the employees' documentation and keeping the records up to date.
Qualifications and Skills Required:
- Minimum of 3 years of experience in the real estate industry.
- A minimum Bachelor's Degree in Business Administration or a related field is preferred.
- Familiarity with industry-specific terminology, processes, and regulations & Apps and portals.
- Proficiency in using online property portals such as Property Finder, Dubizzle, and Bayut and Bayut Profolio, Property Manager.
- Experience in preparing best quality property listings, verifications, and obtaining listing permits.
- Good analytical skills and ability to draft business letters and presentations.
- Knowledge of layouts and graphic fundamentals.
- Excellent skills in Ms. Outlook, Word, Excel, Power Point & managing Calendar.
- Strong organizational abilities with a keen attention to detail.
- Ability to multitask and manage time effectively.
- Ability to work independently and as part of a team.
- Must be fluent in English (Plus points with other languages).
- Fresher graduates are also encouraged to join our team.
