Admin & Operations Assistant

 

Description:

The Admin & Operations Assistant will provide administrative and operational support to ensure the efficient functioning of the office. The role involves a variety of tasks including managing office communications, organizing files, handling logistics, and assisting with daily operational activities. The ideal candidate is detail-oriented, highly organized, and able to handle multiple tasks in a fast-paced environment.

 

Key Responsibilities:

 

Administrative Support:

 

· Answer and direct phone calls, emails, and other correspondence.

· Schedule meetings, appointments, and manage calendars for the management team.

· Prepare and edit documents, reports, and presentations.

· Maintain office supplies inventory by checking stock and ordering new supplies as needed.

· Coordinate with IT department on all office equipment.

 

Operations Support:

 

· Assist in the planning and execution of projects.

· Handle logistics for office operations, including travel arrangements and accommodations.

· Monitor and manage office budgets and expenses.

· Support the operations team in process improvements and project management.

· Assist with vendor management and procurement processes.

 

Records Management:

 

· Organize and maintain electronic and physical filing systems.

· Ensure compliance with company policies regarding record-keeping and data protection.

· Prepare and maintain operational documentation, including SOPs, manuals, and training materials.

 

Customer and Employee Relations:

 

· Provide general support to visitors and act as a point of contact for employees and clients.

· Assist HR in onboarding new employees and maintaining employee records.

· Address employee and client queries promptly and efficiently.

 

Miscellaneous Tasks:

 

· Assist with special projects and perform other related duties as assigned by the Operations Manager.

· Maintain a clean and safe office environment, complying with health and safety regulations.

 

Qualifications:

 

Education: Bachelor's degree in business administration or related field. Masters / MBA is preferred.

 

Experience: Previous experience in an administrative or operations support role is desirable.

 

 

 

Skills:

· Strong organizational and time management skills.

· Excellent written and verbal communication skills.

· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

· Ability to work independently and as part of a team.

· Strong problem-solving skills and attention to detail.

· Ability to handle confidential information with discretion.
