Event/exhibition Estimator

 

Description:

The Event/Exhibition Estimator is responsible for preparing accurate and detailed cost estimates for events, exhibitions, and trade shows. This position involves analyzing project requirements, coordinating with suppliers, and ensuring all cost elements are captured to deliver profitable and competitive bids. The Estimator works closely with project managers, designers, and vendors to ensure budget alignment and optimal resource allocation.

 

Responsibilities:

  • Cost Estimation:
  • Analyze project specifications, drawings, and proposals to prepare detailed estimates for events, exhibitions, and installations.
  • Calculate costs for materials, labor, equipment, and other expenses, ensuring competitive pricing.
  • Develop project timelines and identify key deliverables for cost-effective execution.
  • Vendor and Supplier Coordination:
  • Work closely with vendors, suppliers, and subcontractors to obtain accurate quotes for materials, services, and equipment.
  • Negotiate pricing and terms with vendors to ensure cost efficiency.
  • Build and maintain strong relationships with suppliers to secure best pricing and timely delivery.
  • Budget Management:
  • Track costs throughout the project lifecycle, comparing actual expenses to initial estimates and adjusting forecasts as needed.
  • Provide cost-saving recommendations and alternative solutions to ensure project profitability.
  • Collaborate with the project management team to monitor budget adherence and identify potential cost overruns early.
  • Proposal Development:
  • Prepare and present detailed cost breakdowns and bid packages for clients, ensuring clarity and transparency in pricing.
  • Contribute to the development of proposals and RFP responses with accurate pricing and scope of work.
  • Work with design and production teams to ensure that estimates reflect the creative vision while staying within budget.
  • Risk Analysis:
  • Identify potential risks related to costs, scheduling, or resource allocation and provide contingency plans.
  • Ensure all financial aspects of the event/exhibition are compliant with company policies and client requirements.
  • Reporting:
  • Provide regular cost and budget updates to senior management and clients.
  • Maintain accurate and organized records of estimates, quotes, and financial reports for each project.

 

Qualifications:

  • Education: Bachelor’s degree in Event Management, Business, or a related field preferred.
  • Experience: 3-5 years of experience in cost estimation for events, exhibitions, or a similar industry.
  • Strong knowledge of materials, labor, and equipment costs related to events and exhibitions.
  • Proficiency with estimation software and Microsoft Office Suite, particularly Excel.
  • Ability to read and interpret technical drawings and blueprints.
  • Strong negotiation, communication, and problem-solving skills.
  • Exceptional organizational skills and attention to detail.
  • Ability to work under pressure and manage multiple projects simultaneously.
