Description:
We are seeking a dynamic and highly skilled Executive Assistant with expertise in both administrative tasks and a strong understanding of academic operations. This role will play a pivotal role in supporting your daily activities and ensuring the efficient operation of the university's administrative and academic functions.
Key Responsibilities:
Administrative Support:
- Manage and maintain the CEO's calendar, appointments, and travel arrangements.
- Prepare and organize meetings, including agendas, materials, and minutes.
- Handle incoming and outgoing correspondence, emails, and phone calls on behalf of the CEO.
- Assist in the preparation of reports, presentations, and other documents.
Academic Affairs:
- Collaborate with academic departments to coordinate and schedule meetings, events, and academic initiatives.
- Assist in the planning and execution of academic programs, conferences, and seminars.
- Maintain an understanding of the university's academic policies and procedures.
- Assist in liaising between the CEO and academic faculty/staff, helping to facilitate communication and collaboration.
Project Management:
- Manage and track various projects, ensuring they are completed on time and within budget.
- Conduct research and compile data to support decision-making processes.
- Coordinate and oversee special projects assigned by the CEO, which may involve both administrative and academic aspects.
Communication and Liaison:
- Act as a liaison between the CEO and internal/external stakeholders.
- Attend meetings and represent the CEO when necessary, conveying their directives and decisions accurately.
- Maintain confidentiality and discretion in handling sensitive information.
Document Management:
- Organize and maintain important documents, records, and files.
- Ensure that academic records and reports are accurately maintained and readily accessible.
Qualifications:
- Bachelor's degree in Business Administration, Education, or a related field.
- Proven experience as an executive assistant or in a similar role, preferably in an educational institution.
- Strong administrative and organizational skills.
- Knowledge of academic operations and university policies.
- Excellent communication and interpersonal skills.
- Proficiency in office software and technology, including MS Office Suite.
- Ability to multitask, work independently, and handle confidential information with discretion.
