Hiring Executive Office Assistant to CEO

Location: Dubai, UAE

Key Responsibilities

  • Calendar Management: Organize and maintain the CEO’s schedule, including appointments, meetings, and events.
  • Meeting Coordination: Arrange meetings, prepare agendas, record minutes, and follow up on action items.
  • Travel Arrangements: Manage travel bookings, itineraries, and expense reports.
  • Correspondence: Handle emails, phone calls, and other communications on behalf of the CEO.
  • Office Operations: Ensure efficient functioning of daily office activities, including supplies and equipment management.

HR and Staff Coordination

  • HR Support: Assist with recruitment, onboarding, and maintaining employee records.
  • Staff Oversight: Conduct regular staff checks, report issues, and ensure performance standards are met.
  • SOP Development: Create and implement standard operating procedures across operations.
  • Furniture Management: Prepare and update handy furniture lists tailored to apartment sizes and requirements.
  • Database Management: Maintain accurate and updated records of property owners, brokers, and tenants.
  • Tenant Relations: Send tenant summary reports to property owners, address minor queries, and ensure tenant concerns are resolved promptly for positive feedback.
  • DTCM Compliance: Support the team in complying with Dubai Tourism and Commerce Marketing (DTCM) classification requirements.
  • KYC Verification: Conduct live checks of tenant documents for compliance purposes.
  • Furniture Insights: Detect opportunities for sourcing quality furniture at competitive prices financial Oversight
  • Petty Cash Management: Oversee petty cash usage, maintain records, and prepare reports for the CEO.
  • Receipt Book Checks: Verify the accuracy of petty cash receipt books.

Qualifications and Skills

  • Bachelor’s degree in Business Administration or Accounts or HR, or a related field.
  • Proven experience as an Executive Assistant, Personal Assistant, or in a similar administrative role.
  • Excellent organizational and multitasking abilities.
  • Strong written and verbal communication skills.
  • Proficiency in MS Office Suite and familiarity with database management tools.
  • Knowledge of DTCM regulations, usage of AI tools and property management is a plus.
  • Attention to detail and ability to work independently under minimal supervision.
  • Salary – Aed 4000 – Aed 6000 per month depending on the skills and work experience
  • Optional accommodation facility is also available.
