Executive Secretary

 

Description:

The ideal candidate will provide top-level assistance for high level executives. They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive's behalf. Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations.

 

Responsibilities

  • Maintains customer confidence and protects operations by keeping information confidential.
  • Accuracy of information
  • Time and Logistic management
  • Communication management
  • Office event management
  • Maintains executive’s appointment schedule by planning and scheduling meetings.
  • Handling correspondence directed to managers.
  • Taking dictation and minutes and writing them up subsequently
  • Managing information flow in a timely & accurate manner.
  • Format information for internal & external communication - memos, emails , reports. etc
  • Screen & direct phone calls & distribute correspondence
  • Acting as the point of contact among executives, employees, & clients.
  • Monitor and enhance performance levels of employees by ensuring the project deliverable are met
  • Support and Enable Organisation Culture Change initiatives

Qualifications

  • Bachelor's degree or equivalent experience
  • Proficient in Microsoft Office suite
  • Experience in managing multiple priorities, administrative coordination, and logistics
  • Well-organized, detail-oriented, ability to multi-task with great follow-up skills
  • Strong written and verbal communication skills
