Description:
As a Front Desk Administrator at Banke International Properties, you will play a key role in ensuring the smooth operation of the office and providing top-notch customer service. This role is ideal for someone who thrives in a fast-paced environment, has a professional and approachable demeanour, and is highly organized. You will be the first point of contact for clients, visitors, and staff, helping to create a welcoming atmosphere for everyone who enters our office.
Key Responsibilities:
- Reception Duties:
- Greet and welcome clients, visitors, and guests in a professional and friendly manner.
- Direct clients to the appropriate departments or real estate agents.
- Answer and direct incoming phone calls, take messages, and respond to general inquiries.
- Manage appointments, schedule meetings, and coordinate calendars for office staff and management.
- Administrative Support:
- Perform general office duties such as filing, photocopying, faxing, and scanning documents.
- Maintain office supplies inventory and place orders as needed.
- Assist with the preparation of documents, presentations, and reports as required.
- Handle incoming and outgoing mail, packages, and deliveries.
- Provide administrative support to the sales team and other departments as needed.
- Customer Service:
- Assist clients and agents with inquiries regarding properties, office processes, and services.
- Provide excellent service to both internal staff and external clients, maintaining professionalism at all times.
- Help create a positive and professional first impression of Banke International Properties to clients and visitors.
- Office Management:
- Ensure that the front office area is clean, organized, and welcoming.
- Monitor and maintain office equipment, reporting any issues to the Operations Manager.
- Assist with scheduling and coordinating office events or meetings as necessary.
- Technology & Data Management:
- Operate office equipment, including phone systems, printers, and computers.
- Maintain accurate records of visitors and appointments in office management systems.
- Ensure all correspondence, documents, and records are accurately stored and accessible.
Qualifications & Skills:
- Education & Experience:
- High school diploma or equivalent; Associate’s or Bachelor’s degree preferred.
- Previous front desk or administrative experience in a real estate or professional office environment is a plus.
- Experience working with international clients or in a multicultural environment is an advantage.
