Roles and Responsibilities
Onboarding
- Supporting new joiners on day one
- Preparing for new joiner onboarding, by preparing for their building access card, business card, biometric attendance registration, getting NDA signed on day one for all companies, SIM card, getting their desk organized, arranging, stationery, etc.
- Following up with other receptionist, to ensure the same is done on time and helping where they needed help.
HRMS
- Support employee requests for leave balance, letters, policy clarifications, time management and scheduling leaves, etc.
- Ensure employee information for all regions is up to date.
- Ensure non-disclosure agreement and other joining documents are collected on day one
Learning and Development
· Create one-minute learning material
Separation
- Collect all particulars related to office when an employee is leaving, like access card, sim card, business card, deactivate email id or forward mails as instructed, etc.
HR and Admin Coordination
- Responsible for supporting new joiners on day one in office with access card, biometric attendance, sim card, business card, etc.
- Participate actively in the planning and execution of company events
- Coordinate office staff activities to ensure maximum efficiency – like birthdays, theme parties, lunch orders etc.
- Provide HR support and advice to employees and reporting managers, explaining policies and procedures in a timely and effective manner, with regards to leaves, medical insurance, leave travel allowance, ticket bookings, hotel bookings, visa support, etc.
- Enter data into the HR system so that accurate records are maintained.
- Manage the absence recording system, request medical certificates where necessary, etc.
- Administer the probationary review periods and ensure timely completion of the same.
- Maintain the employee master database.
- Manage the leaver/ employee exit administration process i.e. collection of access card, parking card, sim card, laptop, etc. and accordingly cancel SIM card contracts, access cards, etc.
- Assist the HR & Admin department with the development and maintenance of HR & Admin policies and procedures.
Engagement:
- Measure happiness level across the workplace and initiate programs to value human being and help people feel good as a professional and as an individual. Data arrived at from internal survey’s, one on one meetings, group meetings with the employees.
- Make sure basic requirements of an office or home working employees, are met to make sure people are satisfied and fulfilled,
- To listen to each individual in order to find and map what makes them happy,
- To make sure everyone knows what they do matters and is appreciated,
- Help organization to discover each individual potential and provide a level of freedom to organize their own work and schedule,
- Create a fun and positive work environment, with global level themed initiatives, Kudos program, birthdays, etc.
- Initiate team building activities, events, retreats and anything that increase team spirit,
- Empower people to increase emotional energy and satisfaction, improving overall wellbeing and mental health.
Performance Management
- Monitor the evaluation process at all stages and ensure that all employees complete the review process in a timely manner.
- Provide guidance to all managers as they complete evaluations, help supervisors find effective coaching methods that work for specific issues including identifying areas of poor performance and assisting supervisors to establish plans for improving performance (PIP), be present during review meetings when necessary.
- Provide ongoing support, including responding to various inquiries raised by different employees, clarifying the appraisal forms, methodology etc.
Compensation and Benefits
- Recommend updates on benefits that ensure organizational competitiveness in local talent markets, deliver flexibility and creativity to employees, and are cost-effective for the company. Follow the Mercer methodology when evaluating.
- Implement compensation policies and benefit programs for the region including annual salaries and benefits where applicable.
Employee Relations
- Work with Global HR team and Directors to ensure Employee Manuals are localized and valid in country and interprets and applies the Local law and company HR policies
- Respond to employee relations issues, such as employee complaints, harassment allegations, and civil rights complaints.
- Contribute to the successful execution of company strategy for support to all offices.
- Other tasks as assigned by the Head of HR
Experience & Qualification
- 3 to 5 years' experience as HR Executive
- Candidate needs to have working knowledge of SAP HR modules - time and attendance, leave management, payroll.
- Bachelor’s degree in human resources, Business Administration, or related field required; master’s degree preferred.
