What you will be doing:
• Provide administrative support to attorneys and legal professionals within the Litigation team.
• Manage the Litigation Partner and Associate Partner’s calendar.
• Manage and organize legal documents, including filing, scanning, and indexing.
• Prepare legal correspondence, memos, and other documents.
• Assist in drafting legal documents, such as pleadings, contracts, and agreements.
• Coordinate meetings, appointments, and court hearings for attorneys.
• Maintain attorney calendars and scheduling.
• Conduct legal research and gather information for cases as needed.
• Assist in billing and invoicing processes.
• Handle incoming and outgoing communication with clients, courts, and other parties.
• Maintain confidentiality of sensitive legal information.
• Perform general office tasks, such as answering phones, handling mail.
• Consolidation of monthly timesheets for the Litigation team.
• Act as a Point of Contact for the Litigation Department.
• Send daily court hearing updates to the clients.
• Performing internal conflict checks.
• Maintain and organize trackers to be sent out to the finance team on a monthly basis.
• Navigate the Court System to monitor case developments and updates.
• Coordinate with the PRO’s and Paralegals about the court hearings.
• Oversee the authentication of documents before the Ministry of Foreign Affairs, embassies and Ministry of Justice.
• Coordinate with the translation companies to ensure smooth submission of court requirements.
What you will need to succeed:
• Bachelor's degree in Legal Studies, Business Administration, or related field.
• Proven experience as a legal secretary or similar role.
• Strong knowledge of legal terminology and procedures.
• Proficiency in Microsoft Office Suite and legal software.
• Excellent organizational and time management skills.
• Attention to detail and accuracy in document preparation.
• Ability to prioritize tasks and work efficiently under pressure.
• Excellent communication and interpersonal skills.
• Discretion and respect for confidentiality.
• Flexibility to adapt to changing priorities and deadlines.
