Description:
The role of Marine Procurement / Purchasing Officer is to ensure that the vessels, workshops, shipyards or other clients are supplied with authorized stores, spares and other products in a timely manner and approved costs consistent with Company Quality and Purchasing policies at the most competitive costs.
Responsibilities:
- Sourcing materials, goods, products and services and negotiating the best or most cost-effective deals;
- Co-ordinate and manage the progress and delivery of orders, resolve any discrepancies;
- Establishing professional relationships with clients as well as vendors and suppliers;
- Conducting product research and sourcing new suppliers and vendors;
- Documenting of all activities, maintaining database up to date.
- Making the comparison of the quotations received.
- Submitting the comparison to the Manager for negotiation and finalization.
- Preparation of LPO once the value and supplier are finalized.
- Forwarding the LPO to the Manager for approval.
- Coordinating with the suppliers for prompt delivery of the materials.
- Coordinating with the crew regarding the quality and quantity of the materials received.
- Coordinating with the Accounts Department regarding the payments issue raised by various suppliers.
- Maintaining proper filling of all the PR's and LPOs.
- Receiving and updating PR and LPO logs.
- Source, evaluate, and negotiate with suppliers to procure marine equipment, spare parts, and supplies.
- Manage the procurement process, including issuing purchase orders, tracking deliveries, and resolving any supply chain issues.
- Monitor inventory levels and identify opportunities to optimize stock management and reduce costs.
- Ensure that all purchased materials and equipment meet quality standards and specifications.
- Conduct inspections and audits to verify the quality and performance of procured goods and services.
- Stay updated on industry regulations and standards to ensure compliance with relevant maritime laws and regulations.
- Maintain accurate records of technical inspections, maintenance activities, and procurement transactions.
- Prepare reports on equipment performance, maintenance expenditures, and procurement metrics.
- Collaborate with other departments to provide relevant technical and procurement data for reporting and decision-making purposes.
Qualifications and Education:
- Bachelor's degree in marine engineering, naval architecture, supply chain management, or a related field.
- Knowledge of Shipping Terms
- Previous experience in marine technical management, procurement, or a related role within the maritime industry.
- Strong understanding of marine equipment, machinery, and technical operations.
- Knowledge of procurement processes, supply chain management, and vendor negotiation.
- Familiarity with relevant regulatory requirements and industry standards.
- Excellent communication, negotiation, and problem-solving skills.
- Proficiency in using relevant software and tools for tracking inventory, managing procurement, and generating reports.
- Concrete knowledge and understanding of purchasing processes, policies, and systems.
- Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, Outlook, and Excel).
- Ability to teamwork and personnel management skills
- Excellent verbal and written communication skills; able to negotiate, establish, and process contracts.
