Advanced Aluminum Systems LLC is looking for an additional highly creative and detail-oriented Office Administrator to add to our growing team in Dubai. The applicant will collaborate professionally in a team environment with our Commercial Department in Dubai
Roles & responsibilities
- Minimum of 2 Years of experience in a similar role
- Greet and welcome all visitors
- Coordinate activities throughout the company to ensure efficiency and maintain compliance with company policy
- Manage agendas, travel plans and appointments for upper management
- Manage emails, letters, packages, phone calls and other forms of correspondence
- Support bookkeeping and budgeting procedures for the company
- Create and update databases and records for financial information, personnel and other data
- Track and replace office supplies as necessary to avoid interruptions in standard front office procedures
- Submit reports and prepare proposals and presentations as needed
- Assist colleagues whenever there is an opportunity to do so
- Book transportation, make hotel reservations and collect payment/fees
- Deal with occurring travel problems, complaints or refunds
- Enter data into our software and maintain client files
- Excellent knowledge of computer reservations systems, VFS systems and e-travelling
- Serve as the first point of contact for staff seeking Basic technical assistance
- Determine the best solution based on the issue and details provided by the staff
- Manage requests made by other departments and branch offices and keep a tab of the same
- Manage the attendance ledger
- Available for immediate joining.
- Should be able to converse fluently in French.
