Advanced Aluminum Systems LLC is looking for an additional highly creative and detail-oriented Office Administrator to add to our growing team in Dubai. The applicant will collaborate professionally in a team environment with our Commercial Department in Dubai

Roles & responsibilities

  • Minimum of 2 Years of experience in a similar role
  • Greet and welcome all visitors
  • Coordinate activities throughout the company to ensure efficiency and maintain compliance with company policy
  • Manage agendas, travel plans and appointments for upper management
  • Manage emails, letters, packages, phone calls and other forms of correspondence
  • Support bookkeeping and budgeting procedures for the company
  • Create and update databases and records for financial information, personnel and other data
  • Track and replace office supplies as necessary to avoid interruptions in standard front office procedures
  • Submit reports and prepare proposals and presentations as needed
  • Assist colleagues whenever there is an opportunity to do so
  • Book transportation, make hotel reservations and collect payment/fees
  • Deal with occurring travel problems, complaints or refunds
  • Enter data into our software and maintain client files
  • Excellent knowledge of computer reservations systems, VFS systems and e-travelling
  • Serve as the first point of contact for staff seeking Basic technical assistance
  • Determine the best solution based on the issue and details provided by the staff
  • Manage requests made by other departments and branch offices and keep a tab of the same
  • Manage the attendance ledger
  • Available for immediate joining.
  • Should be able to converse fluently in French.
