Description:
This position is responsible for providing efficient and responsive administrative, organizational, and logistical service to the CEO & Directors when necessary, their direct reports; assisting them to manage and prioritize their time efficiently and effectively. In this role, you must utilize a high level of integrity and requires an individual with a positive attitude, an outgoing personality, and an ability to get the best out of a team of people. A highly motivated individual and an experienced problem solver who is also personable, organized, and able to prioritize multiple tasks. Strong communication skills are essential.
Job Scope
- Responsible for the organization and co-ordination of the Executive Office operations and procedures to facilitate organizational effectiveness and efficiency
- Provide efficient and responsive administrative, organizational, and logistical service to the CEO & Directors and when necessary their direct reports; helping them to manage and prioritize their time efficiently and effectively
- Manage calendars for multiple executives and set up meetings, conferences, and conference calls
- Compose, proofread, organize, and maintain confidential correspondence, presentations, reports, minutes and other complex documents
- Prepare presentations/documentation for external clients and Board meetings
- Review and process expense reimbursement reports
- Identify departmental needs, and set up and maintain office files, logs, listings, and manuals
- Assist with strategic projects across other departments in the organization as called upon
- Coordinate travel arrangements to include booking flights, accommodation, transfers, etc.
- Undertake small ad-hoc projects and/or research as advised
- Manage time effectively to meet and exceed deadlines to ensure availability for additional projects
- Manage the reception and kitchen staff and facilities support services to the Miral Offices
- Coordinate and/or manage multi-departmental projects as required by the Executive Office
Essential
- Higher Secondary or equivalent
- Minimum 2 years’ experience as an Office Manager
- Demonstrated proficiency in Microsoft Office applications and strong written and verbal communication skills
- Strong verbal, written and interpersonal communication skills
- Excellent attention to detail, strong organizational skills, and able to multi-task
- Proven problem-solving, analytical, and project management skills
- Able to work well under pressure in a fast-paced environment and exercise sound judgment and discretion
- Available to work a flexible schedule with overtime, as required
- Able to maintain a positive attitude in a fast-paced work environment
- Advanced skills in MS Office Suite (Word, Excel, Outlook, PowerPoint and Visio).
