Personal Assistant required

Duties and responsibilities

  • Schedule Management
  • Maintain MD’s calendar and agenda, scheduling appointments, meetings and trip planning.
  • Remind for urgent activities, events, upcoming commitments, and deadlines.

Communication and Information Management

  • Draft and prepare email, letters, memos, and reports to internal and external on behalf of MD. Coordinate and liaise with other staff members on behalf of the MD.
  • Attend the meetings on behalf of the president and prepare meeting minutes and approvals required.
  • Organize and maintain files, records and documents in both electronic and physical formats. Prepare presentations, reports, meeting minutes and other documents as needed.

Administrative Support

  • Provide general administrative support and assets management.
  • Arrange travel and personal assets (such as house cars, insurance).
  • Create personal and company related filling system and reminders.
  • Supervise general admin staff, monitor employee performance and report to manager. Confidentiality and Discretion
  • Prioritize tasks and manage time effectively to meet deadlines and achieve objectives.
  • Anticipate and proactively address potential scheduling conflicts or issues.

Adaptability and Flexibility

  • Adapt to changing priorities and work effectively in a fast-paced environment.
  • Handle unexpected situations and emergencies calmly and efficiently.
  • Professionalism and Etiquette Represent the MD professionally in all interactions, both internal and external.
  • ·Demonstrate excellent interpersonal skills and maintain a courteous and friendly demeanor.

Qualifications

  • Bachelor’s degree prefer.
  • Previous experience as a Personal Assistant or in a similar administrative role.
  • Proficiency in Microsoft Office suite and other relevant software applications.
  • Strong written and verbal communication
  • With English and Arabic is a must. UAE Driving License required.
  • Excellent organizational and multitasking skill.
  • Ability to work independently with minimal supervision.
