We seek an exceptional Personal Assistant to support the CEO and Managing Director professionally and personally. This pivotal role involves project management, coordinating families and team members across several time zones, and representing the CEO and MD at meetings and events. The successful candidate will also oversee diary management, case management, licensing, legal instructions, academic presentations, HR functions, and personal matters, including recruitment and supervision of household staff.

Key Responsibilities:
1. Executive Support:
• Manage the CEO and MD’s calendars, scheduling meetings, appointments, and global engagements across time zones.
• Represent the CEO and MD at board meetings, industry events, and key stakeholder engagements, maintaining professionalism and discretion.
• Coordinate and communicate with families, clinical teams, and external partners.
• Handle legal instructions, licensing, and compliance matters critical to the business.
• Prepare academic presentations, reports, and research for international conferences and publications.
2. Project and Business Management:
• Oversee planning and execution of new business ventures and strategic projects.
• Manage office systems, CRM tools, and operational structures to ensure seamless workflows.
• Coordinate recruitment, onboarding, and HR functions for business and personal staff.
• Drive systems management and optimization to support The Wave Clinic’s global reputation for excellence.
3. Personal and Family Support:
• Manage personal and family matters for the CEO and MD, including household operations and schedules.
• Recruit, train, and supervise personal staff, including household staff and drivers.
• Coordinate personal travel arrangements, appointments, and family commitments.
4. Leadership Collaboration:
• Act as a key liaison between the CEO, MD, and senior leadership team to ensure alignment on strategic goals.
• Provide input and support for high-level decision-making processes at board and leadership meetings.
• Facilitate communication and coordination between global teams and stakeholders.

Qualifications and Experience:
• Proven experience as a PA, EA, or similar role supporting C-suite executives in a high-profile environment.
• Exceptional organizational and project management skills, with the ability to juggle multiple priorities.
• Strong interpersonal and communication skills, with a professional and discreet approach.
• High level of discretion and confidentiality when handling sensitive matters.
• Proficiency in Microsoft Office Suite, CRM systems, and project management tools.
• Flexibility to work across time zones and adapt to a fast-paced environment.
