Real Estate Administrator

 

Description:

The Real Estate Admin & Listings Specialist will manage property listings, assist brokers

with administrative tasks, and ensure that all contracts are verified and approved by the

Directors before execution. The role requires a detail-oriented individual with excellent

organizational and communication skills, capable of maintaining compliance with company

policies and UAE regulations.

 

Key Responsibilities ;-

1. Contract Management ;-

  • Draft, review, and submit contracts to the Directors for confirmation and approval. Contracts A, B, F (MOU) sale contracts for secondary market sales and off plan resales.
  • Also, someone who is proficient, well versed with all DLD laws, rules and regulations. Ensure all contracts comply with UAE laws and company policies.

 

2. Administrative Support to Brokers :-

  • Assist brokers in collecting and verifying property details and documents.
  • Prepare tenancy contracts, sales agreements, and addenda as required.
  • Schedule and coordinate property viewings and appointments for brokers.

 

3. Property Listings Management :-

  • Create and update property listings on various real estate platforms with accurate details, images, and pricing.
  • Monitor and maintain the quality and accuracy of property advertisements.
  • Archive and remove inactive or outdated listings.

 

4. Contract Management :-

  • Draft, review, and submit contracts to the Directors for confirmation and approval.
  • Ensure all contracts comply with UAE laws and company policies.
  • Maintain a record of approved contracts and update relevant stakeholders on their status.

 

5. Compliance and Documentation :-

  • Verify the completeness and accuracy of client and property documents before processing transactions.
  • Ensure compliance with RERA rules, regulations, and other legal requirements.

 

6. Coordination with Directors:-

  • Work closely with the Directors for final approval of contracts and major transactions.
  • Provide timely updates and reports to the Directors regarding ongoing deals, client feedback, and property status.

 

7. Reporting and Analysis ;-

  • Generate weekly and monthly reports on property listings, client inquiries, and transaction progress.
  • Provide insights and recommendations to improve efficiency in administrative processes.

 

Requirements ;-

1. Educational Background:

Bachelor’s degree in Business Administration, Real Estate, or a related field (preferred).

 

2. Experience:

At least 2 years of experience in real estate administration or a related field in the UAE.

 

3. Skills:

  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills in English (knowledge of Russian or Arabic is an advantage).
  • Proficiency in Microsoft Office Suite and real estate CRM platforms.
  • Knowledge of RERA regulations and legal requirements in UAE real estate.

 

4. Other Requirements:

  • RERA certification (preferred but not mandatory).
  • Valid UAE driving license (advantageous).
