Description:
We are seeking a detail-oriented and proactive Real Estate Coordinator for our client Based in Business Bay Dubai. In this role, you will play a critical part in supporting our property management operations and ensuring a seamless experience for both landlords and tenants. Your primary responsibilities will involve preparing and managing property management agreements, handling rental renewals, and maintaining accurate documentation throughout the leasing process. The ideal candidate will have a thorough understanding of property management, financial aspects, and relevant regulations, and will excel in client communication and database management.
Key Responsibilities:
1. Property Management Agreements: Prepare and update property management agreements and periodic reports to ensure accurate and up-to-date records.
2. Rental Renewals: Handle the renewal process for rental deals, ensuring timely and efficient completion.
3. Lease Documentation: Maintain rental agreements and manage all documentation related to move-in and move-out procedures.
4. Client Liaison: Act as the primary point of contact for clients, providing regular updates on their properties and addressing any inquiries.
5. Tenancy Contracts: Prepare tenancy contracts and all necessary documentation for new and existing leases.
6. Database Management: Manage a client database, ensuring accurate records and preparing reports as requested.
7. Security Deposits: Work closely with the accounts department to process security deposit refunds for tenants in a timely manner.
8. Utility Payments: Coordinate with the accounts department to ensure the payment of any due utility bills on behalf of the landlord.
9. Payment Organization: Organize and manage cheques payable for any additional payments due on behalf of the landlord.
10. Property Maintenance Reporting: Report the condition of properties and any maintenance issues to landlords, ensuring prompt attention to any problems.
11. Rental Agreements & Invoicing: Generate and invoice rental agreements, including customer damage charges when applicable.
12. Property Management Expertise: Utilize a full understanding of property management practices and financial aspects to enhance operational efficiency.
13. Regulatory Compliance: Maintain in-depth knowledge of all rules and regulations regarding property management, ensuring compliance at all times.
14. Vacancy Management: Ensure that vacant units are prepared for occupancy in the shortest possible time, inspect completed work, and advise on the readiness for leasing.
15. Maintenance Tracking: Track and follow up on maintenance requests submitted by tenants, ensuring timely resolution.
