Description:
Responsibilities
· Coordinate with sales team by managing delivery schedules, filing important documents and communicating relevant information to customers
· Respond to complaints from customers and give after-sales support when requested.
· Handle the processing of all sales & purchase orders with accuracy and timeliness & coordinate with Ophize BPO team.
· Sending PRM for approvals, Po’s to vendors & follow up for the ETA.
· Coordinate with Ophize BPO team for the proforma invoice as per the requirement from the sales team.
· Sending proforma invoice to customers for the payment confirmation.
· Inform clients of unforeseen delays or any problems with the order which they placed.
· Monitor the team’s progress, identify shortcomings, and propose improvements.
· Generating reports of pending sales orders & purchase orders as & when required by sales team.
· Handling urgent calls, emails, and messages when sales representatives are unavailable, answering customer queries, informing them of delays, arranging delivery dates.
· Checking the orders have the correct prices, discounts, and product part numbers.
· Taking quotation from freight forwarders, clearing agents for the shipments from vendors & confirm with sales team.
· Shipment follow-up with Vendors, freight forwarders, clearing agent & Clearance of shipment, checking of shipments arrived and send for GRN to Ophize BPO.
· Coordinate with customers & warehouse and make necessary arrangement for delivery on time.
· Coordinate with RMA team as & when required.
· Comply strictly to the safety and security norms and regulations as per the instructions from the management/ JAFZA authorities.
