Responsibilities:

  • Accreditation: Collaborate in compiling and developing accreditation documents.
  • Faculty promotion: Facilitate the process of faculty promotion under the supervision of the Dean.
  • Academic and Administrative Policies: Assist in reviewing, editing, and compiling academic and administrative policies.
  • Research and Reporting: Undertake research and gather data as directed by the Dean, supporting decision-making processes and reports.
  • Special Projects: Aid the Dean in special projects, initiatives, and strategic planning as required.
  • Meeting Support: Prepare for meetings with agendas, materials, and presentations. Record accurate meeting minutes, act on action items, and distribute related documents as needed.
  • Scheduling: Help in developing academic schedules and calendars. Manage the Dean's calendar efficiently, including scheduling meetings, appointments, and events. Coordinate with both internal and external stakeholders to align all engagements with the Dean's priorities.
  • Event Coordination: Play a pivotal role in organizing academic events hosted by the Dean's office, such as conferences, workshops, and receptions. Partner with event planning teams to manage logistics for successful execution.
  • Budget and Expense Management: Process expenses and maintain financial records according to institutional policies.
  • Information Management: Keep organized and current records, files, and databases related to the Dean's office, ensuring sensitive information is managed discreetly.
  • Stakeholder Engagement: Serve as the primary liaison between the Dean and faculty, staff, students, and external partners, promoting positive relationships and clear communication.
  • Correspondence and Communication: Manage incoming and outgoing communications for the Dean, including emails, phone calls, and written correspondences, ensuring timely responses and upholding professionalism.

Qualifications:

  • Bachelor’s degree in business administration, Office Management, or a comparable field.

Essential Criteria:

  • Minimum of 3 years of pertinent work experience as an executive assistant (preferably in higher education).
  • Acquaintance with UAE MOE and CAA standards and regulations.
  • Tact and ability to manage confidential information with utmost discretion.
  • Outstanding written and oral communication skills.
  • Adaptable to shifting priorities and a dynamic environment.
  • Proficiency in MS products, namely Excel, Word, and PowerPoint.
  • Bilingual proficiency in both English and Arabic is advantageous.
