Description:
Overseeing daily office operations and providing support for general functions, including preparing reports and assisting with HR-related tasks. Responsibilities include handling assigned administrative duties, managing facility maintenance, overseeing office supplies, supervising sub-contractors, and coordinating with third-party vendors. The role also involves contributing to departmental planning and policy development.
Duties and Responsibilities:
Government related Tasks
- Handling new & existing Lease agreements, Trade licenses, Tenancy contracts, Ejari, PO Box, etc.
- Dubai trade activities of collecting various documents from the portal as per the requirement.
- Coordinating with DUCAMZ, Civil Defense, municipality, free zone authorities, etc. for various approvals.
Fleet Management
- Dubai Police fines for fleet and management vehicles
- Salik- Dubai and Abu Dhabi Darb
- Enoc VIP Fuel tag
- Registration & Insurance renewals
Property & Facility Management
- Scouting and locating space for new office and showroom
- Managing & monitoring renovations and fit-out projects (Offices, Showrooms, Villas)
- Liaising with Vendors for maintenance works
- Liaising and securing approvals from various government authorities for fit-out & renovations.
- Timely payment of rentals, utilities (telephone, electricity), and other charges.
- Timely renewal of property insurance
Procurement
- Creation of PO as per the requirement from BOD, HR, and other departments.
- Consumables (Stationeries, pantry items, Stamps, and letterhead envelope)
- Office furniture & Maintenance items
Travel Desk
- Hotel & Flight Bookings
- UAE Visit Visas as per the requirements of Staff and BOD
- Taxi/Car booking for staff (Business Trips)
- Schengen Visa Applications
- Canada Visa Application
- Travel Insurance
Position Qualifications:
- Bachelor's degree in business administration, Facilities Management, or a related field.
Requirements:
- Candidates must hold a valid UAE driving license.
