Senior Administrator

 

Description:

As a Senior Administrator in our real estate brokerage company, you will be responsible for overseeing and

executing a wide range of administrative tasks essential to the smooth operation of our business. You will

collaborate with our agents, clients, and other team members to ensure efficient and effective

administrative support. In the other hand, you will report directly to line Manager.

 

Key Responsibilities:

1. Transaction Coordination:

• Manage and coordinate real estate transactions from listing to closing.

• Prepare and review contracts, agreements, and documentation for accuracy and completeness.

• Liaise with clients, real estate agents, attorneys, and other parties involved in transactions.

 

2. Client Services:

• Provide exceptional customer service to clients, responding to inquiries and addressing their needs

promptly and professionally.

• Maintain client databases and records, ensuring confidentiality and accuracy.

 

3. Document Management:

• Organize and maintain digital and physical files, contracts, and documents.

• Ensure compliance with record-keeping requirements and company policies.

 

4. Scheduling and Calendar Management:

• Coordinate appointments, meetings, and property showings for real estate agents and clients.

• Manage and maintain calendars, scheduling events and reminders as needed.

 

5. Financial and Accounting Support:

• Assist with financial transactions, including processing payments, tracking expenses, and managing

invoices.

• Collaborate with accounting team for financial reconciliations.

 

6. Team Support:

• Support real estate agents with administrative tasks, including marketing materials, listing coordination,

and client communications.

• Facilitate training sessions and onboarding for new team members as needed.

 

7. Office Management:

• Ensure the office is well-organized, fully stocked, and equipped with necessary supplies.

• Handle administrative duties such as answering phones, managing emails, and routing inquiries.

 

Qualifications:

• Minimum 2-years of Dubai real estate experience is mandatory.

• High school diploma or equivalent (Bachelor's degree preferred).

• Proven experience in administrative roles, preferably in the real estate industry.

• Strong proficiency in office software (Microsoft Office Suite, Google Workspace, etc.).

• Excellent organizational and multitasking skills with strong attention to detail.

• Exceptional communication and customer service skills.

• Ability to work independently and collaboratively in a fast-paced environment.

• Knowledge of real estate transaction processes and documentation is a plus.
