Description:
We are seeking a motivated and detail-oriented Senior Executive Assistant to provide high-level administrative and operational support to the CEO. This role requires exceptional communication, organizational, and multitasking skills, along with a proactive and solutions-oriented approach. The Senior Executive Assistant will be responsible for managing complex calendars, arranging travel logistics, preparing reports and presentations, and handling sensitive information with discretion.
Key Responsibilities
- Executive Support: Manage the CEO's daily schedules, appointments, and travel arrangements. Proactively prioritize and resolve scheduling conflicts and ensure executives are well-prepared for meetings.
- Communication: Act as the primary point of contact for internal and external communications, including phone calls, emails, and in-person interactions. Screen and redirect communications as necessary.
- Meeting Coordination: Organize and schedule meetings, conferences, and events. Prepare agendas, take minutes, and follow up on action items to ensure timely completion.
- Travel and Logistics: Coordinate domestic and international travel arrangements, including flight bookings, hotel accommodations, and transportation. Ensure all travel needs are met and provide on-the-ground support as required.
- Document Management: Prepare and review presentations, reports, and other documents for the executive team. Ensure that documents are accurate, well-organized, and delivered on time.
- Project Support: Assist with various projects and tasks as required by the CEO. Help track project timelines, resources, and progress to ensure successful project completion.
- Confidentiality and Discretion: Handle sensitive and confidential information with the utmost discretion and professionalism.
- Administrative Assistance: Perform general office duties, including filing, organizing, and maintaining office supplies. Support other administrative tasks as needed to ensure smooth day-to-day operations.
Requirements
- Experience: Minimum of 5 years of experience in an executive assistant or similar administrative support role, preferably in a fast-paced, international environment.
- Education: Bachelor’s degree or equivalent qualification.
- Skills & Abilities:
- Excellent written and verbal communication skills in French and English. Fluency in other languages is a plus.
- Strong proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and prioritize tasks effectively.
- High level of professionalism, integrity, and confidentiality.
- Strong organizational and multitasking skills with attention to detail.
