Collaborating within The FM team, the Facilities Supervisor is to embody and deliver an excellent experience with energy, passion and presence to all customers and guests at the site. Reporting into the Manager this vital, fluid position sets the tone of the flow of the user experience by creating daily and consistent joyous and courteous moments through a focus on proactive walks and fault-finding management and reporting
Responsibilities
• Ensure that all meeting rooms are ready to go each day as per the booking requirements
• Have total ownership of floors and the surroundings areas to ensure the best work experience
• Collaborating with IT, Admin, cleaning and other key departments to ensure the workplace is always looking its best
• Develop and maintain fantastic communication with key colleagues
• Manage stationery stock within the copy hubs and storage space
• To be an ambassador for the Helpdesk using the technology platform to ensure all loaned items are scanned in and out
• Daily management of meeting rooms and suppling refreshments when required
• Support the Admin Team in collecting deliveries from the Post Room and loading bay when needed•
• Support the Admin Team in storing all gift items ensuring they are stored in a safe and efficient manner
• Report health and safety hazards and take proactive action to resolve the risk
• General manual handling
• Support the Admin Team by raising urgent courier requests and ensuring the timely collection and delivery of items
• Support Domestic and International departments in receiving, inspecting, warehousing, registration, ledger of peripheral products
• Provide support for any local/ office specific tasks as requested
• Notify colleagues of delivery for all urgent/ same day deliveries
• Support/assist the Admin/Workplace team with any emergency procedures as required
• Issuing and management of keys for lockers and pedestals
• Assist the Admin team in the processes of minor move related requests when required
• To be familiarized with the front desk roles to provide cover as and when required
• Assist with issuing and delivery of lost and forgotten passes when applicable
• Support the clear desk policy to ensure desk are hygienically cleaned
• Ensure wastepaper is placed in the confidential bins only
• To drive positive feedback and aim to continually increase performance and customer satisfaction levels
• To complete all E- Learning modules on time and with no manager escalation
• To be a champion and advocate for CBRE Excellerate four key values, which serve as the foundation
• Gather data for the client and CBRE Excellerate report
• Become to Face of CBRE Excellerate driving agility and the highest levels of customer service
• Support and complete any reasonable management request
• Provide coverage for client’s employees in the event of absence
Qualifications
• Experience of 3-5 years in front desk / administration / related service environment
• Fluent in English and Mandarian-speaking is a must.
• Demonstrate experience in dealing with customer service and exhibit key skills within this area
• Sound problem solving ability
• Strong communication skills (oral and written)
• Excellent influencing skills
• Experience in contract management and measurement
• PC literate i.e. Microsoft systems
